Team Headshots That Do Not Look Dated in Two Years

Team headshots are one of the most-used images a business owns — website, proposals, email, LinkedIn, press. They are also the ones most likely to look mismatched, because they get taken at different times by different people.
Consistency is the point
A team page where every photo has a different background, crop and lighting reads as disorganized regardless of how good each individual image is.
Shooting the whole team in one session with one setup produces a set that works together. When someone joins later, matching that setup is straightforward if it was documented.
Decide the style first
Formal on a clean background, environmental in your actual workspace, or outdoor natural light. Each says something different about the business.
A law firm and a construction company should not be making the same choice, and the decision should follow what the business actually is rather than what looks generic-professional.
Wardrobe guidance to send in advance
- A stated dress code so the team arrives consistent — this is the item most often skipped
- Solid colors over busy patterns
- Avoid bright white and pure black on some backgrounds, which can be unflattering
- Bring a spare top in case of a spill or a wrinkle
- Consider whether logo apparel is appropriate for how the images will be used
The practical logistics
Headshots go quickly per person once the setup is right — the time cost is setup and scheduling, not shooting. Booking a block and running people through in sequence is far more efficient than individual appointments.
Give people a rough time slot so they are not standing around, and shoot the people with the tightest schedules first.
Everybody hates having their photo taken and nearly everybody is happier with the result than they expect. A photographer who talks people through it gets better expressions than one who just shoots.
Environmental versus studio
Environmental headshots — shot in your actual space — carry more information and feel less corporate. They also take longer and require the space to look right.
Studio-style on a clean background is faster, more consistent and more flexible in use, because it drops into any layout.
Many businesses do both: a clean version for formal use and an environmental version for the website.
Plan for the crops you need
Square for social, vertical for some layouts, horizontal for others, and tight versus loose crops for different placements. Shooting with those in mind means one session covers all of them.
Discovering afterward that every frame is too tight for the website banner is a common and avoidable problem.
Update on a schedule
Headshots age. A photo that is five years old and no longer looks like the person undermines trust rather than building it. Refreshing every couple of years, or when the team changes meaningfully, keeps the set honest.
